Privacy policy

VeraLink Systems LLC (“VeraLink,” “we,” “us”) provides real-time language access and meaning-support services through our websites, mobile applications, and live session viewer (together, the “Services”). This policy explains what we collect, why, and the choices you have.
Information we collect
- Account information. If you create an account: name, email address, and language preferences. Attendees who join a live session through the browser viewer do not need an account.
- Live session audio. During a session, audio captured by the session operator’s device is streamed to our speech-recognition provider and processed in real time to produce transcripts. Audio is processed transiently for transcription and is not used to build voice profiles of attendees.
- Transcripts and translations. The text produced from session audio and its translations, associated with the session in which it occurred.
- Term interactions. Which flagged terms were detected and tapped during a session. We use this to improve glossary coverage and to document the meaning support a session provided.
- Technical information. Basic device and usage information (such as browser type, app version, and timestamps) needed to run and secure the Services.
How we use information
- To deliver live transcription, translation, and meaning support.
- To maintain, secure, and improve the Services and our glossaries.
- To provide institutions with records of the language access their sessions offered.
- To communicate with you about your account or support requests.
We do not sell personal information, and we do not use session content for advertising.
Service providers
We use a small set of processors to run the Services: speech recognition (AssemblyAI), machine translation (DeepL), voice synthesis (ElevenLabs), conversational voice infrastructure (VAPI), database and authentication infrastructure (Supabase), website and content delivery (Cloudflare), and business email (Google Workspace). Each processes data only to provide its service to us.
Sessions hosted by institutions
When you attend a session hosted by an institution such as a city council, school district, or community organization, session records (transcripts, translations, and term logs) may be made available to that institution as part of its language-access documentation. The institution’s own policies also apply to those records.
Retention
Account information is kept while your account is active. Session transcripts, translations, and term logs are retained per our agreement with the hosting institution, or for up to twelve months for community sessions, after which they are deleted or de-identified. Transient audio streams are not retained after transcription.
Security
We use encryption in transit, access controls, and audit logging to protect the Services. No system is perfectly secure, and we encourage you to protect your account credentials.
Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Deployments in schools operate under agreements with the institution.
Your choices
You may access or update your account information in the app, and you may request deletion of your account and associated data at any time through our account deletion page or by emailing privacy@veralinksystems.com.
Changes
We will post any changes to this policy on this page and update the effective date above.
